INTERBRANDS controls the costs for transport and maintenance of the fleet by implementing iTrack application

By implementing a custom solution for fleet monitoring, Interbrands achieves a better control of costs, increase of employee productivity, streamline and automation of reports from the field.

About the company

SC INTERBRANDS Marketing & Distribution S.R.L is the largest distribution company in Romania, partner and principal distributor of the largest producers of consumer goods in the world: Procter & Gamble, Nestle, Kotanyi, British American Tobacco, etc. Interbrand is part of the Sarkis Group who carries out activities in Cyprus, Bulgaria, Russia, Belarus, Dubai and Mongolia.

Fleet: Over 500 vehicles.

Challenges

  • Monitoring and centralizing the information about each car from INTERBRANDS, the productive hours for drivers and reducing the time spent aggregating and reporting data
  • Improving the efficiency of each car individually

 

Initial situation

Being a key partner for the largest manufacturers of consumer goods in the world, INTERBRANDS faces the management of a numerous and widespread fleet, a process that was a real challenge, generating substantial and unmanageable fuel and maintenance costs. Several indicators clearly showed that fleet efficiency can be improved:

  • Management team noted that the workload involved in reporting on the fleet`s situation and completing related roadmaps was very large, because everything was done manually in the 30 branches spread across the country, and then centralized at the company headquarters.

 

  • Discrepancies between the actual situation and staff reports related to mileage and overtime were noticed, differences that needed a much too complex process to be proven and to be implemented in the entire fleet.

 

The solution

After testing for a while the solution, the company decided to implement the iTrack solution and to integrate it with existing systems of evaluation and control.

Due to the large number of vehicles and intense work, we developed a custom program, agreed with the customer, for the installation of the equipmnets by the mobile teams without affecting the normal working hours.

For security and to further developments, the application has been installed on servers that have been added to an existing IT infrastructure.

This way, the iTrack application was integrated with the existing fleet management system to properly record the distances traveled and automatic allocation of drivers.

Following the integration and customization of the iTrack solution functionalities as needed for the company, the roadmap is automatically generated and contains all information necessary to the financial department for rating expenses and VAT related to the use of road vehicles. Also, the activity ratio of every driver provides all the information regarding the distances traveled by work and personal interest, taking into account the data from HR: holidays and days off.

Results:

  • Reducing the time dedicated to filling, operating and transmitting the reports

From the first days of implementation there was a decrease in the workload dedicated to administrative management reports both for staff and the drivers.

  • Increasing employees productivity and reducing workload

Due to the transfer of numerous operations to the iTrack application, several weekly working hours were cleared which could be allocated to the remaining tasks and for increasing service quality, noticing an overall increase of employees productivity.

  • Increasing the speed of operation and report of the department

The policy makers of the company get, due to the iTrack system, the required real-time reports, reports based on numerous parameters until then unmeasured and unrated. Thus, comparisons could be made between the distribution areas and a ​​recalculation of routes was performed. More easily were identified the areas of distribution less efficient to the overall average.

  • Increasing the level of control over the activity and the accurate use of fleet

With iTrack system was easy to observe which was the actual work time of the drivers and how they used the cars. This allowed the management team to intervene within the operations team and solve the situation in a friendly manner. Just the mere installing of the tracking systems led to an increased productivity, lower costs and more higher accuracy in the reports.

  • Integration with existing systems

By integrating in the existing systems, the flow of information between departments becomes more efficient, and the reports are more consistent by corroborating several parameters from different areas of the activity.
